This is where Maproom comes in. You can visualise your prospect and customer data, gamify your sales outreach through the power of “map meetings”, and track your progress.

The Background

Humans have been using maps in warfare for centuries. Maps are powerful: you can build strategy, conquer territories and see where you’re winning or losing at a glance.

Our key goal for 2023 was to get products into every NHS trust in the UK.

But how were we going to keep the team engaged, track our progress, and allow everyone to know exactly which organisation to attack and when?

That’s when we came up with the idea for our Maproom software and our Weekly Map Meetings™. And it worked!

Since then, our Maproom software has evolved into what it is today, but our Map Meetings have stayed the same – fun, exciting, and lively!

The Maproom Methodology™

Step 1: Choose your BHAG

What’s your BHAG (Big Hairy Audacious Goal), and when will you achieve it by?

As an example, it could be to get in with all public schools in the UK by the end of the year.

Step 2: Add your data

Export data from your CRM, scrape it from industry websites, or put it together manually.

Then simply import it into the Maproom using our famously super-simple import screen.

Step 3: Map Meetings™

Every week gather the team together for a maximum of 30 minutes.

Review wins, set each person’s target organisations for the coming week, and have fun!

Weekly Map Meetings™ should be loud, action-focussed, and above all: fun! Last thing on a Friday is an ideal time to hold them.

Here’s our suggested meeting agenda:

  1. Change the status of organisations that have moved to the next stage, and celebrate the wins as you see the stats and pins update!
  2. Agree which organisation(s) each person will be targeting for the coming week.
  3. Have fun! Run a quiz with prizes, crack open the beers, or play a game.
  4. Pick a name out of a hat to choose the host of next week’s meeting – this way every meeting is different!

Step 4: Start winning!

At any point, anyone can see where you are in relation to your BHAG.

The weekly cadence brings fun, teamwork, and accountability to the hard slog of winning new customers. The result? You start winning!

Maproom is packed full of features, but you can use as little or as much as you like! Here’s just a sample of what’s included as standard.

Visualise all of your prospects and customers on a map, and see statistics giving you progress against your goal.

You can also filter the view by industry, status, or by any other field within the same screen.

Maproom’s relationships functionality is very powerful. You can create parent or child relationships between organisations, and have as many levels as you like. You can also assign contacts to organisations.

Throughout the system, it’s very easy to see exactly who is connected to who and how, thanks to our Relationships tree view.

Find data in seconds with lightening-fast search and intuitive column filters.

Keep a visual timeline of all contact with organisations and contacts in the Activities tab.

You can also store notes and attachments against each record.

You can add as many tags to organisations and contacts as you like. This gives a great way to store people’s interests, product focusses, and other data in a visual way, and also allows you to build custom queries based on them.

Sick of finding duplicate companies and contacts in your data? Maproom auto-magically checks for similar records on save, and provides a percentage match score based on all sorts of clever algorithms, including the Levenshtein distance calculation and using metaphones (ie. checking for similar sounding words). It’s fancy stuff, but it works!

You can choose to continue with your save, or merge it with another record.

You can easily merge organisations or contacts with just a few clicks, with a handy way of selecting fields you want to keep (or you can type in a new value).

Click Complete Merge, and all linked records including activities, attachments, notes, tags, and linked organisations or contacts are all brought into one record.

The events module of Maproom is extremely powerful. Setup your event, select what contact fields you want to capture, and unlock the sign in form.

Visit the unique event URL from a tablet, and people can quickly enter their own details either on the tablet or by scanning the QR code and completing on their own device. Watch the contact details roll in!

After the event you can quickly check and convert each record to a contact within Maproom.

Our famous 2-minute import tool is so quick and simple to use that your dread of importing data will vanish!

You can import data to any table, including activities, notes, organisations, contacts, etc.

You can also quickly export organisations or contacts data as Excel or CSV files.

Need to go beyond searching and filtering, and uncover specific records? That’s where advanced queries come in. You can quickly setup and save specific data views for contacts and organisations – for example, view contacts that we haven’t had any activities for in the past 6 months.

Once saved, these queries are available to choose from in relevant screens across the Maproom. You can also easily export the results in Excel or CSV format.

Did we mention that Maproom is completely mobile friendly? That’s right, you can easily add, view or update information whilst on the road. It’s fast, simple and secure!

For those of you who don’t like bright screens, you can even switch to dark mode at the click of a button.

The side menu can also be pinned open if required for quick access when navigating between screens.

Absolutely everything anyone does on the system is automatically logged, and you can search through or filter logs to find exactly what you are looking for, and see who did what and when.

You can even undo deletions made by mistake!

Your data is protected and secure. Maproom uses a Microsoft 365 integration for login purposes, and only users in your Microsoft Tenant (or a subset of them – your choice) can log into the system. As soon as a staff member leaves and is deactivated in Microsoft 365, their access to Maproom is revoked.

As you’d expect, Maproom also uses Cloudflare and SSL Encryption Certificates for additional data security.
